Job title: Registrar

Reporting to: Executive Director of Student Services

Full-time 40 hrs a week 

Location: Hybrid 

Purpose of the position

The Registrar is a critical academic leadership team member responsible for overseeing and managing all academic records, including registration, enrolment, graduation, and student data. They play a crucial role in ensuring the smooth operation of the academic program and provide essential support to students, faculty, and staff.

Responsibilities and Duties

Responsibilities

  • Oversee the student information system: Manage the system and ensure that it is functioning optimally to support the needs of the Southern Evangelical Seminary and Bible Institute and all student records.
  • Maintain student records:  Ensure the accuracy and completeness of all student information, including course, grades, academic history, and academic history.
    • Transcripts Coordinator: Manage SES past and present transcripts and evaluate incoming students for transfer credit and advanced standing.
  • Manage the registration process: Oversee the development and implementation of registration policies and procedures, scheduling classes, and processing student enrolments.
  • Develop and maintain academic calendars: Work with executive leadership, faculty, and academic departments to create and publish a schedule that meets the needs of students, faculty, and marketing.
  • Produce and maintain the academic catalogue:  Ensure that the catalogue is accurate, up-to-date, accessible to all students, and published by set deadlines. 
  • Produce and maintain faculty and student handbooks: Ensure that handbooks are accurate, up-to-date, accessible to all students, and published by set deadlines.
  • Student Academic Progress: Communicate any academic progress or concerns and outcomes such as academic probation, restriction, etc. to appropriate leadership.
  • Administer graduation: Verify degree requirements, coordinating commencement ceremonies, and issue diplomas.
  • Develop and implement new initiatives to improve student services: Work with other departments to identify and implement new ways to enhance the student experience.\
  • Prepare reports and data analysis: Conduct surveys and provide data and reports to the administration, other stakeholders, and various agencies on student statistics, including, but not limited to, enrolment, graduation rates, student graduations, and other key metrics.
  • Stay current with federal and state regulations: Ensure that the seminary complies with all applicable regulations related to student records, academic programs, and accreditation requirements.
    • Certifies all VA students.
    • Completes reports required for recertifications with the North Carolina State Approving Agency.
    • Completes the North Carolina State Authorization Annual Report. 
    • Administrates and updates the I-20 to approve F1 visa students through SEVIS.
    • Administrates the completion of the TRACS annual report.
  • Serve on various institutional committees as elected or appointed.
  • Perform other duties as assigned.

Academic and trade qualifications

  • Baccalaureate degree.
  • Five years of experience degree in higher education administration, student personnel services, or a related field.
  • Two years of experience in a supervisory role in a college or university Registrar’s Office.
  • Two years of experience working in a Christian organization.
  • Proficiency in database management systems and student information systems (Populi, Banner, PeopleSoft)
  • Strong understanding of academic policies and procedures.
  • Excellent communication, interpersonal, and organizational skills.
  • Ability to work independently.
  • Ability to work collaboratively with diverse stakeholders, including faculty, staff, and students.
  • Proficient in computer skills and software applications relevant to the Registrar’s Office.
  • Commitment to student success and a passion for higher education.
  • Strong knowledge of academic policies, FERPA regulations, and higher education compliance standards.
